MOQ planning worksheet

Minimum order quantities are applied per model, per color, or per order. This worksheet helps you convert them into a plan.

Step 1: find how the MOQ is applied

Ask the supplier whether the MOQ is per model, per size, per color, or per order. The difference is large. A per-color MOQ across five colors and three sizes multiplies fast, and a per-order MOQ gives you freedom to mix.

Step 2: write the grid

SizeColor AColor BColor CTotal
Small____
Medium____
Large____
Total____

Fill in the quantities you want, then compare each cell and each row with the supplier's rule. Cells below the rule need to be merged, dropped, or raised.

Step 3: check cash and shelf

  1. Unit cost times quantity gives the product cost.
  2. Add freight, duty, and inspection.
  3. Add the cost of storage until the stock is sold.
  4. Compare the total with your cash limit and the shelf or warehouse space you have.

Step 4: decide the compromise

If the grid exceeds your limit, there are four common moves: fewer colors, fewer sizes, a higher unit price for a lower MOQ, or a stocked model with a lower MOQ. Ask for quotes on two options and compare the total landed cost, not just the unit price.

Step 5: plan the reorder

Write the sell-through you expect for each cell and the date you will decide to reorder. Count back from that date by the supplier lead time plus transit. This gives the latest date at which the reorder must be placed.
